Municipal administrations conduct numerous conversations daily: with residents, internal teams, project participants, authorities, or commissions. At the same time, there is a high demand for accurate documentation. Notes, meeting minutes, and summaries must be complete, comprehensible, and structured.
We discussed this with Andreas Lusti, administrative director of the newly merged municipality of Neckertal. He has been active in municipal administration for over 35 years and is responsible, among other things, for the municipal administration, the public works department, and the libraries.
In the conversation, he explains why documentation is so important in municipalities, how Meeting Metrics is used in everyday life, and why the solution quickly became a real relief for his team.
Who are you – and what do you actually do?
I am Andreas Lusti, administrative director of the newly merged municipality of Neckertal and have been active in municipal administration for over 35 years.
In my role, I lead the non-school departments of the municipality – including the municipal administration, the public works department, and the libraries.
My workday covers a wide range of topics, which makes it very exciting. It involves very different issues: from tragic fates of individual people to large construction and development projects.
Our municipality is agile, strongly development-oriented, and open to new topics. With the merger in 2023, we had the chance for a fresh start. We want to consciously take advantage of this opportunity.
How was documentation done before?
Meetings, discussions, and conversations are part of everyday life in a municipal administration. Many employees conduct or participate in conversations.
At the same time, there is a high demand that these conversations are correctly transcribed. In the municipal administration, we therefore spend a lot of time on notes and minutes.
However, this work does not come equally easily to all employees. Especially in everyday life, this is a challenge: you want to be present in the conversation but also have to remember to record the most important points accurately.
How do you specifically use Meeting Metrics?
We mainly use Meeting Metrics for daily conversations.
That is, in direct customer contact, project meetings, work discussions, clarification talks, and recently also in naturalization interviews.
It is important to note: Always only with the consent of the participants.
For regular council and commission meetings, we currently still work with detailed preliminary minutes. We do not yet use Meeting Metrics there. The great added value for us is especially where many conversations take place in everyday work and a clean note or summary is needed afterward.
What has changed as a result?
The great advantage of Meeting Metrics is that even less writing-inclined employees get good notes.
Another advantage is that during the conversation, the topic of taking notes disappears. Employees can focus more on the conversation instead of writing simultaneously.
This greatly improves quality and benefits all participants. No one is distracted. Everyone is more present in the conversation.
At the same time, the tool saves a lot of working time.
"During the conversation, the topic of taking notes disappears. This greatly improves quality and benefits the participants a lot."
How is Meeting Metrics received by the team?
Meeting Metrics is regularly used by us, very popular, and perceived as a real relief.
The summaries are high quality. Especially the completeness and structuring surprise us every time.
After a short time, Meeting Metrics has become a real everyday tool for us.
"The summaries are high quality. The completeness and structuring surprise us every time."
And personally? Your conclusion.
Meeting Metrics helps us a lot.
The solution is not just another digital tool but a practical working instrument that noticeably eases everyday life in the municipal administration.
For us, the cost-benefit ratio is also right. Therefore, I can clearly say: It is worth it.
