A Behind-the-Scenes Look with Mathias Schunke, CEO of Ugra Swisstesting AG

Meetings are part of everyday professional life – but they are not always effective. Many teams struggle with lack of preparation, time-consuming follow-up, and unclear task distribution. The example of Ugra Swisstesting AG shows that it can be done differently. CEO Mathias Schunke talks in an interview with Meeting Metrics about smart meeting structures, efficient tools, and the path to more motivation in everyday work.

Who are you, and what do you do professionally?

My name is Mathias Schunke, I am the CEO of Ugra Swisstesting AG. We are a 100% subsidiary of the association Ugra Swiss Competence Center for Printing and Media Technology. Our core competencies are testing, certifying, and developing.

What makes your company or your way of working special?

We operate a testing laboratory accredited according to SN EN ISO/IEC 17025 for tests on materials and products from the printing and packaging industry, the paper industry, as well as security printing. In addition, we are actively involved in various national and international standardization committees.

How did you approach meetings in the past – preparation, execution, follow-up?

We have established different types of meetings, e.g., QM meetings, management meetings, and team meetings. For all meetings, we have defined fixed agendas. Specific topics are submitted in advance to estimate the time required and enable participants to prepare content-wise. Our weekly production meeting takes place according to the Kanban methodology as a stand-up meeting. However, the follow-up, especially the minute-taking, was a time-consuming process.

Were there typical pain points or "unnecessary time wasters"?

Definitely. Recapping and documenting after the meeting was laborious and tedious. Often it was left undone because daily business had already taken over again. That was frustrating and unsatisfactory.

How were decisions or tasks from meetings documented so far?

This is implemented differently. For QM meetings and tasks, we use a web-based management and information system; for other cases, memos or minutes.

How did you come across Meeting Metrics?

Bajram and Enes presented the application during the summit at Switzerland Innovation Park East. The benefit of the application was immediately obvious.

Are there specific meeting types where Meeting Metrics is particularly helpful?

For fulfilling our tasks in the laboratory and quality management, precise and timely documentation is crucial. We use it not only for minutes but also for brainstorming and personal conversations. The processing of voice memos with Meeting Metrics is a decisive game changer in this context, as it is significantly faster than typing texts.

What impact does Meeting Metrics have on your daily work?

I save an enormous amount of time on minute-taking and documentation tasks. The written summaries are quickly available, normative requirements are met, and personal motivation increases.

Do you have a personal tip on how to make meetings better?

In our team meetings, we try, if possible, to complete smaller tasks directly – "Getting things done!" is our motto. It is motivating for everyone involved to end the meeting with a manageable task list.

Conclusion: Efficiency through intelligent automation

Mathias Schunke's experience impressively shows how Meeting Metrics can create real added value, especially in regulated industries like testing and certification. The combination of structured meeting preparation and AI-supported follow-up makes it possible to leverage the best of both worlds: human expertise in execution and technological efficiency in documentation.

The decisive game changer lies in the processing of voice memos – a feature that not only saves time but also lowers the barrier to complete documentation. This turns a tedious obligation into an efficient tool that improves work quality while meeting normative requirements.
