Template · Municipal council meeting

Meeting of 8 July, 19:00 – 21:20

Draft

Agenda item 4 · Renovation of the Feld school building

The building department presents the revised cost estimate of CHF 4.2 million. The work is to take place in two stages during the summer holidays.

Considerations

The finance commission points to the burden on the 2027 investment plan. Spreading it over three years was examined and judged to be more expensive.

Resolution

The renovation credit will be put to the citizens' assembly. Approved by 5 votes to 2.

Open items

  • Message to the citizens' assembly — municipal clerk, by 22 July
  • Prepare the tender for stage 1 — building department, by 15 August
  • Inform the school management — education department, by 12 July
Every statement links back to its place in the transcript. For approval

The difference

The same meeting. Two completely different weeks afterwards.

The minutes either come out of the course of the discussion — or days later out of notes that nobody can reliably assign any more.

How it works

Four steps that fit your meeting rules.

Nothing changes in how the meeting runs — the only additional effort is proofreading the draft.

Illustration of a board meeting. Recording is done via laptop or phone — no additional equipment needed.
  1. 01

Decide on and announce the recording

The board decides once, in principle, that recordings are made for the minutes, and records the decision in the minutes. At the start of the meeting, the chair briefly points this out. The recording never starts by itself.

  2. 02

    Run the meeting as always

No dictation, no speaking discipline. Dialect, standard German and French are understood, including switching within a single contribution.

  3. 03

    Your minutes template fills itself

Agenda item, background, considerations, resolution and open item in your structure. From the Pro plan, every contribution is additionally assigned to the person speaking.

  4. 04

    Check, correct, approve

Every sentence can be looked up in the transcript. The draft goes into your filing system as a PDF or Word document — only approval by the board turns it into the minutes.

Your everyday work

These are the conversations that land on your desk.

The meetings in a municipality's yearly calendar.

Municipal clerk & council

  • Municipal council meeting
  • Citizens' assembly
  • Portfolio committee meeting
  • Building committee meeting
  • School commission meeting
  • Social services board meeting
  • Audit commission
  • Public consultation meeting
  • Public participation event
  • Naturalisation interview

Outcomes

More debate. Less follow-up work.

Three things that actually change in day-to-day meetings.

At the table

Whoever takes the minutes can join the discussion.

If you are writing everything down, you miss half the debate. The recording takes over the note-taking.

After the meeting

Writing becomes checking.

The draft follows your structure. You correct, add and sign off, instead of sitting in front of a blank document.

By the next meeting

Nothing falls through between two meetings.

Open items are on the list with an owner and a deadline, instead of being reconstructed four weeks later.

Trust in the council chamber

The four questions that come up first in the council.

The documents are confidential, the minutes are often public in the end. Both have to work together.

Hosting and storage exclusively in Switzerland, aligned with the revised Swiss FADP and the GDPR. If you also want the AI processing to run on your own Swiss servers, that is possible on the Enterprise plan.

01

Dialect in the council

The debate is in dialect, the minutes are in standard German. Swiss German is one of the 57 supported languages — including mixed with standard German or French.

02

Consent in the board

The board resolves to record and notes this in the minutes; the members are informed at the start of the meeting. The legal assessment remains with the municipality.

03

Responsibility for the minutes

Meeting Metrics delivers a draft, not approved minutes. Review and approval remain with the board — every passage is backed by the transcript.

04

Retention and deletion

You delete audio and transcript by hand at any time, and depending on your plan you can set an automatic deadline for the whole team. Access is controlled through roles and folders.

Yes. Swiss German is one of the 57 supported languages, including when it alternates with standard German, French or English. You choose the language of the minutes — usually standard German. For field names, legal titles and the names of council members you store your own vocabulary, so the spelling is right.
That is for your board to decide — best of all once, as a matter of principle, and noted in the minutes. At the start of each meeting the chair points out that the meeting is being recorded for the minutes; the recording never starts on its own and can be stopped and deleted at any time. Official secrecy, personal data and cantonal requirements are for you to assess — we supply the tool, not the legal assessment of your board.
You are. Meeting Metrics produces a draft, not approved minutes — review, correction and approval remain with whoever takes the minutes and with the board. To make proofreading quick, every passage is linked to the point in the transcript: one click shows you what a sentence is based on, instead of listening to the whole meeting again.
No. There is no interface to records management systems such as CMI Axioma or OneGov. The draft comes out as a PDF or Word document and can be filed directly to SharePoint/OneDrive or Confluence; open items can be handed over to Microsoft To Do, Jira or Teamwork. Filing in the records management system you do as before.
As long as you want. You delete the recording and transcript by hand at any time; depending on your plan you can set an automatic retention period for the whole team — for example after the minutes have been approved. Access is controlled through roles, user groups and folders. Meeting Metrics does not replace archiving under your archiving regulations; your existing system remains responsible for that.
