Draft

Background

Half-yearly progress meeting, year 5. Present: class teacher, both legal guardians and the pupil.

Observations from lessons

Maths has stabilised noticeably since the sports holidays. Reading aloud in German is still difficult; in group work he rarely speaks up of his own accord.

Agreements

  • Read aloud for 10 minutes daily · Parents · from 24 March
  • Move seat to the front · Class teacher · from Monday
  • Feedback from German lessons by email · Subject teacher · by 4 April

Next meeting

Short interim meeting in the week of 12 May, by phone.

Every statement links back to its place in the transcript. Review & sign off

The difference

The same meeting. Two completely different evenings.

The note either comes out of the meeting itself — or in the evening at the kitchen table, once the memory has already faded.

Before

The meeting ends. The writing begins.

Notes during the conversation half your attention

Conversation note written up in the evening

Agreements reconstructed from memory

Result

Follow-up work in the evening

and the uncertainty about whether everything agreed really made it in.

How it works

Four steps that fit into a school day.

Nothing changes in the meeting itself — the only extra work is reading the draft through at the end.

  1. 01

Start the recording — once everyone has agreed

One click on your laptop or your phone, with no extra device in the room. You ask briefly beforehand; if anyone says no, you document as before. The recording never starts on its own.

  2. 02

    Hold the meeting as usual

No note-taking, no list of keywords. Dialect, standard German or the parents’ language — including switching between them and with an interpreter in the room.

  3. 03

    Your template fills itself in

Background, observations, agreements with owners and deadlines — or agenda item, discussion and resolution for the staff meeting. You define the fields yourselves or upload an existing template.

  4. 04

    Review, correct, sign off

Every statement can be looked up in the transcript. Only your sign-off turns the draft into a note — as PDF or Word, and if you like straight to SharePoint, OneDrive or Confluence.

Your everyday work

These are the conversations that land on your desk.

Conversations and meetings across the school year.

School leadership & teachers

  • Parent meeting
  • School progress review
  • Teaching staff meeting
  • School leadership meeting
  • Subject department meeting
  • Class conference
  • Assessment meeting
  • School board meeting
  • Round table with specialists
  • Exam review meeting

Outcomes

More conversation. Less follow-up work.

Three things that actually change in the school day.

Attention

You listen instead of taking notes.

In the parent meeting the notepad stays shut. Especially when things get difficult, that is what makes the difference.

Time

The evening does not belong to the notes.

Instead of writing every note from scratch, you read a draft through and sign it off.

Accountability

Agreements come with a name and a date.

Who takes on what by when is in the draft — and can be checked against the place in the transcript.

Trust in the school

The four questions that come up before the first parent meeting.

This is about children and young people. So here are the answers, before the school management or the data protection officer has to ask.

Do you have cantonal requirements to clarify? We go through data flows, retention and rollout with you and your data protection officer — before you introduce it, not afterwards.

01

Consent

You ask before recording; for minors you obtain the consent of the legal guardians. If anyone declines, you document as before. The legal assessment stays with your school.

02

Dialect & multilingualism

57 languages including Swiss German. Even when a meeting switches between dialect, standard German and the parents’ language. You choose the language of the note.

03

Access & retention

You control who sees a note through roles, user groups and folders. You can delete recordings by hand at any time; an automatic retention period for the whole team can be set on every paid plan.

04

Processing in Switzerland

Hosting and storage are in Switzerland on every plan, compliant with the revised Swiss FADP and the GDPR. On the Enterprise plan, the AI processing also runs on dedicated Swiss servers.

FAQ

What schools and universities want to know before they start.

Only with the consent of everyone present. One sentence at the start is enough, for example: “I am recording our meeting so that I do not have to write the note while we talk. The recording stays with the school — are you happy with that?” If a pupil is a minor, you obtain the consent of the legal guardians. If anyone says no, you document as before; the recording never starts on its own. We provide the tool — the legal assessment for your canton and your school stays with you.
Yes. 57 languages including Swiss German are recognised, even when the same meeting switches between them — for example when an interpreter is translating. You choose the language of the finished note independently of that, so a meeting held in dialect is documented in standard German. Names, school subjects and your own terms can be stored as vocabulary so that the spelling is right.
By default, only you. Access runs through roles, user groups and folders — a note from a progress meeting can stay with the class teacher, while staff meeting minutes are released to the whole team. You can delete the recording and transcript manually at any time; an automatic retention period for the whole team can be configured on every paid plan. If parents want to see the note, you pass it on as a PDF.
The teacher who signs it off. Meeting Metrics produces a draft, not a finished file note — the professional judgement stays with you. To make reading through quick, every statement is linked to the place in the transcript: one click shows you what a sentence is based on, instead of listening to the whole meeting again.
As a PDF or Word file, or straight to SharePoint, OneDrive and Confluence. Open items can additionally be handed over to Microsoft To Do, Jira or Teamwork. There is no interface to learning platforms, school administration software or an SSO login today — tell us what you work with and we will talk openly about what is possible.
Yes, speaker identification separates the contributions — it is included from the Pro plan, not in the Basic plan. For the staff meeting that means: contributions stay assigned to the right person, and motions can be assigned to a person in the draft minutes. You can record with the desktop app, with the iOS or Android app, or by uploading an existing file.
