Welcome to the Meeting Matrix

We decided to quickly turn Meeting Metrics into the Meeting Matrix. Why? Because we hired a few "agents" - not the guys from the movie who chase you into a parallel world, but smart AI agents who support us in everyday life. Joking aside: Even though they don't wear black suits, they handle a lot of work daily - from content creation to support to lead generation.

Why We Rely on AI Agents

As a small startup, we face the classic challenge: We want to be present in many areas - content marketing, customer support, product development, sales - but we don't have the resources of a large corporation.

The solution? AI agents that take over repetitive tasks and enhance us in creative processes. Not as a replacement for humans, but as a multiplier of our capabilities.

Use Case 1: Blog Content Creation

The Problem

Regular, high-quality blog content is essential for SEO and thought leadership. Who has time to research, write, and create images daily?

The Solution

Our Blog Agent works according to a clear workflow:

At 6:00 AM:

  1. Researches current news in the field of meeting tools and AI
  2. Analyzes our previous blog posts (no duplicates!)
  3. Creates 3 topic proposals with SEO-optimized titles
  4. Posts the proposals in our Discord channel

After approval:

  1. Writes the full article (6–10 minutes reading time)
  2. Generates a suitable header image in Meeting Metrics brand style
  3. Creates meta descriptions and keywords
  4. Uploads everything as a draft into our CMS

The Result

  1. 80% less time spent on content creation
  2. Consistent quality thanks to defined guidelines
  3. Always current topics thanks to automatic news research

Use Case 2: LinkedIn Content Automation

The Problem

LinkedIn is our most important B2B channel. Creating creative posts daily takes a lot of time.

The Solution

Our LinkedIn Agent delivers daily at 6:00 AM:

  1. 3 post proposals in various formats (story, listicle, thought leadership)
  2. Appropriate hashtags
  3. Optimal posting times based on our audience
  4. Generated images in retro stipple style

Our content manager then selects the best proposal, adapts it, and posts it.

The Result

  1. Daily presence on LinkedIn without daily effort
  2. A/B testing of different content formats
  3. Consistent visual style through automated image generation

Use Case 3: Customer Support Automation

The Problem

Support requests come in at all times. Quick answers are important but not always possible.

The Solution

Our Support Agent monitors the support inbox and:

  1. Categorizes requests (technical, billing, feature request)
  2. Creates draft responses based on our knowledge base
  3. Creates Teamwork tasks for complex cases
  4. Escalates urgent cases via Discord notification

The agent never responds directly - a human reviews everything. But the preliminary work saves a lot of time.

The Result

  1. Response times reduced from hours to minutes
  2. Consistent quality through standardized templates
  3. No forgotten tickets thanks to automatic task creation

Use Case 4: Competitor Monitoring

The Problem

The meeting tool market is dynamic. Who can keep track of everything?

The Solution

Our Competitor Watch Agent creates a weekly report with:

  1. Price changes
  2. New features
  3. Important blog posts and press releases
  4. Social media trends and sentiment analysis

The report lands every Monday in our strategy channel.

The Result

  1. Always informed about the market
  2. Quick reaction to competitors
  3. Data-driven product decisions

Use Case 5: Lead Generation

The Problem

Outbound sales needs qualified leads – manual research is tedious.

The Solution

Our Lead Gen Agent searches daily for potential customers:

  1. Target group: Swiss SMEs, 5–500 employees
  2. Industries: Consulting, agency, tech, professional services
  3. Output: company name, industry, contact person, LinkedIn profile

The leads are stored in a structured way and imported directly into the CRM.

The Result

  1. 5–10 qualified leads daily without manual effort
  2. Consistent data quality
  3. More time for personal conversations

Use Case 6: Project Management Integration

The Problem

Tasks get lost, deadlines are forgotten, overview is missing.

The Solution

Our agent is connected with Teamwork and:

  1. Sends daily task reminders
  2. Automatically creates tasks from support requests
  3. Tracks project progress and reports delays
  4. Prepares the weekly review

The Result

  1. Nothing falls through the cracks
  2. Proactive reminders
  3. Better meetings through prepared agendas

Lessons Learned

✅ What Works

  1. Clear workflows
  2. Human-in-the-loop: agents do preliminary work, humans decide
  3. Iterative improvement
  4. Specialization

❌ What Doesn't Work

  1. Full automation
  2. Too complex tasks
  3. Lack of context

AI Agents as Team Extension

Our AI agents write blogs, plan LinkedIn posts, answer support requests, track competitors, and bring leads directly into the CRM - all while we focus on product innovations and strategy. In short: We don't work harder, we work smarter.
